Smart Workplace Solutions supported a client with its office relocation in Hilversum, from business case and lease negotiation through space planning, supplier selection and move delivery. The move was completed in June 2026.

The challenge
The client needed to relocate because its existing lease was coming to an end. Its existing office space was also nearing capacity, and the business needed to implement facilities services alongside the practical requirements of occupying and operating the new office.
The aim was to create a workplace that met the team’s current needs, allowed for growth and supported a well-managed transition.
Smart Workplace Solutions’ role
Smart Workplace Solutions managed the relocation project, working with the client and the parties involved in the lease, fit-out and move. The work included:
Drafting the board business case to support the relocation decision.
Supporting lease negotiations, including incentives.
Providing design recommendations and space planning.
Coordinating a soft tender process and supporting supplier appointments for fit-out, cleaning, security, health and safety compliance, and removals.
Supporting negotiations with the sublandlord regarding reinstatement obligations and furniture purchase.
Drafting employee communications to help the team prepare for the move.
Managing the project’s programme, dependencies and delivery.
The outcome
Our client moved into its new office in June 2026. The 741 sqm space includes 72 desks and eight meeting spaces, up from 551 sqm, 54 desks and five meeting spaces in the previous office.
The new workplace offers better facilities and room for future growth. Initial employee feedback has been very positive.
